Over the last year, I’ve had many conversations with business owners about AI. Most started with the same questions: Is it actually useful? Is it worth the investment? Or is it just another overhyped technology trend?
The reality is that tools like Microsoft Copilot are already saving businesses time every day through tasks like summarising meetings, drafting emails and analysing data.
But with Microsoft Copilot Wave 3, we’re starting to see something much more interesting. Rather than simply helping people complete tasks faster, Copilot is becoming capable of taking on meaningful pieces of work in its own right.
For SMEs, where time and resource are often the biggest constraints to growth, that could be a game changer.
What’s new in Copilot Wave 3?
The biggest change is that Copilot is becoming far more capable of handling tasks that would normally involve multiple steps and several different Microsoft applications.
Until now, Copilot has been excellent at helping with individual tasks. You ask a question, request a summary or generate a document, and it responds.
Wave 3 takes things a step further.
Instead of simply helping with one part of a process, Copilot can help bring together information from documents, emails, meeting notes and spreadsheets to complete larger pieces of work more efficiently.
A more capable digital co-worker
Think about how much time your team spends each week:
- Preparing reports
- Gathering information for meetings
- Creating presentations
- Chasing updates from different departments
- Writing project summaries
- Pulling together information from multiple systems
These tasks are important, but they’re rarely the best use of your team’s time.
Wave 3 is designed to reduce much of that effort by helping users move from collecting information to actually using it.
For example, instead of manually gathering information for a quarterly review meeting, Copilot can help bring together the relevant data, documentation and notes into a single deliverable ready for review.
You remain in control, but there’s far less heavy lifting involved.
Better inside the apps you already use
One of the biggest strengths of Microsoft Copilot is that it works within the applications your team already uses every day.
Word
Creating reports, proposals, policies and documentation becomes quicker and easier, helping teams spend less time staring at a blank page.
Excel
For many businesses, valuable information sits inside spreadsheets but is often difficult to analyse quickly. Copilot can help identify trends, build formulas, create charts and make data more accessible.
Outlook
Managing email remains one of the biggest drains on productivity. Copilot continues to help users draft responses, summarise email chains and stay on top of their inbox.
PowerPoint
Creating client presentations, board reports and internal updates can be time-consuming. Copilot can help produce professional presentations much faster than traditional methods.
None of these improvements on their own are revolutionary.
But when you add them together across an entire organisation, the time savings can become significant.
Better access to business knowledge
One of the challenges businesses often face is that information exists in lots of different places.
Some of it’s in email. Some in meeting notes. Some sit in documents that haven’t been opened for months.
Wave 3 improves Copilot’s ability to work with information that already exists across your Microsoft 365 environment, making it easier to find what you need when you need it.
That means less time searching and more time getting work done.
Why should business owners care?
Whenever AI gets discussed, the conversation usually focuses on productivity.
But I think the bigger opportunity is capacity.
Every business I speak to has a list of projects they’d love to get done if they had more time – improving processes, strengthening documentation, communicating more proactively with customers, investing in marketing, delivering training and focusing on strategic planning.
The issue is rarely a lack of ideas. It’s a lack of available time.
The businesses getting the most value from tools like Copilot aren’t replacing people. They’re helping good people spend less time on repetitive administration and more time on work that genuinely moves the business forward.
The opportunity for SMEs
Large organisations often have dedicated teams handling reporting, administration and analysis.
Most SMEs don’t.
That means every hour spent producing reports, gathering information or updating documents is an hour that could have been spent supporting customers, improving operations or winning new business.
This is why I believe AI has the potential to make an even bigger difference in smaller businesses.
Used correctly, it allows existing teams to achieve more without adding complexity or increasing headcount.
Final thoughts
When Microsoft first launched Copilot, many businesses saw it as a useful productivity tool.
Wave 3 feels different.
For the first time, we’re starting to see technology move beyond simply helping people work faster and towards helping them offload meaningful chunks of work altogether.
That doesn’t mean replacing people.
It means allowing talented people to focus on the work that matters most while reducing the time spent on repetitive administrative tasks.
The businesses that embrace this shift early will gain a genuine advantage over those still relying on manual ways of working.
If you’re already using Microsoft 365, now is the time to start asking what Copilot could be doing for your business.
Not in five years.
